Personality & Role Profile

You are an energetic and charismatic person with a flair to deliver results.  You will be assisting the Operational Management team with all operational and administrative support tasks to ensure the operations in rooms, Spa and food and beverage outlets run smoothly on a day-to-day basis. You will also be responsible for the implementation and execution of the overall operations plans and objectives, and to provide leadership in a dynamic, fast paced, sophisticated environment in order to promote a culture of excellence.

Essential Duties & Responsibilities
  • Assist the Departmental Head of Departments (F&B, Kitchen, Spa, Housekeeping & Front Office) to perform daily duties, operational plans, and any special hotel events.
  • Provide ongoing, hands-on operational leadership and support to management and implement best practices, programs and procedures to drive revenue, efficiency, productivity, and a culture of excellence.
  • Partner with the Sales & Marketing department, to ensure that all online communication channels related to Food & Beverage and Spa are kept updated with the correct information at all times.
  • Answers social media comments and private messages
  • Assist the Departmental Head of Departments with their team training planning and ensure that all teams cover the training required using the online training platforms in a timely manner
  • Assisting with project management by creating assignments, tracking progress, and resolving issues.
  • Update all food & beverage menus as required together with the outlet’s reservation system.
  • Manage the online food & beverage reservations system
  • Works closely with all other Managers to maximize interdepartmental collaboration.
  • Support the Hotel Manager as required.
Desirable Experience, Qualifications, & Attributes
  • Working experience in an operational department in a 5 star hotel.
  • Knowledge of Opera is an asset.
  • Excellent command of the English language both written and spoken and preferably another language.
  • Great communication skills at all levels within the hotel operations.

Personality & Role Profile

You are an energetic and charismatic person with a flair to work with people.  As a member of the Human Resources department, you are mainly responsible to deliver a seamless HR services including payroll administration consistent with The Phoenicia Hotels policies. You will also ensure that all HR and payroll related issues are being dealt with in a timely manner and in accordance with the Hotel’s policies.

Essential Duties & Responsibilities
  • Ensures that all HR related information is gathered and filed according to company policies.
  • Manages the departmental filing system and the HRIS.
  • Take ownership and manages the Indigo Payroll and the Time and Attendance system.
  • Ensures that all payroll data is compiled and entered into the Indigo payroll system.
  • Handles employees’ engagement and terminations through Jobsplus.
  • Collects and send payroll information to contracted third-party suppliers.
  • Assists employees with queries on their wages., and acting as a point of contact to employees for daily queries
  • Assists with process of recruitment, terminations and Injury on duty by ensuring that the relevant forms are duly filled
  • Handles the Sick leave process.
  • Attends all relevant training sessions as required.
  • Assists with the induction training for new employees.
Desirable Experience, Qualifications, & Attributes
  • Possess working experience of Indigo Payroll System.
  • A sound knowledge of local employment laws and procedures including the use of HRIS.
  • Proficiency in Windows Office applications mainly Outlook, Word, and Excel.
  • Excellent communication skills.
  • Ability to work well under pressure and excellent attention to detail

Personality & Role Profile

You are ambitious, passionate and energetic person. You will be an integral part of our dynamic team, primarily responsible for monitoring, analysing, and controlling Food and Beverage costs while also overseeing the tracking of all hotel costs. The role involves ensuring that the Materials Control System and Micros POS system are consistently updated with accurate pricing and cost data, particularly for Food and Beverage items. Additionally, the Cost Controller will monitor and analyse other hotel costs across departments, ensuring that operational, maintenance, and supply expenses are kept within budget. The Cost Controller collaborates closely with the Financial Controller to provide insights into cost-saving opportunities and support financial forecasting.

Essential Duties & Responsibilities
  • Monitor and analyse Food and Beverage costs on a daily, weekly, and monthly basis to ensure they remain within budgeted targets.
  • Ensure that all Food and Beverage menus are accurately costed and updated in the Materials Control System and Micros POS system.
  • Analyse the cost of sales for Food and Beverage items, ensuring that recipes, portion control, and inventory levels are effectively managed.
  • Perform regular inventory checks and spot checks of Food and Beverage stock to ensure accurate reporting and minimize discrepancies.
  • Work closely with the Purchasing Manager to ensure that Food and Beverage purchases are in line with forecasted requirements and within the set budget.
  • Monitor and analyse all hotel costs, including operational, supply, and utility costs, ensuring they align with financial goals and budget forecasts.
  • Oversee cost control for non-food supplies, including operational equipment, cleaning materials, and guest amenities.
  • Ensure that all non-food items are accurately recorded in the Materials Control system and linked to the appropriate departments, enabling accurate financial reporting.
  • Provide insights and recommendations to the Financial Controller for improving cost control measures across all hotel departments.
  • Ensure that inventory systems (including Materials Control) are accurately updated for all items—particularly Food and Beverage and guest-related goods.
  • Perform regular audits to verify that inventory levels match actual stock and that discrepancies are promptly investigated.
  • Prepare and present detailed cost reports to the Financial Controller, highlighting Food and Beverage costs and operational costs, along with recommendations for improvement.
  • Conduct regular spot checks on stock levels and Food and Beverage usage, reporting any discrepancies to the Financial Controller.
  • Assist the Purchasing Manager and the Financial Controller in evaluating supplier contracts and identifying cost-saving opportunities for both Food and Beverage and non-food items.
Desirable Experience, Qualifications, & Attributes
  • Proven experience in cost control, financial analysis, and inventory management, with a focus on Food and Beverage and hotel-wide costs.
  • Strong proficiency in Materials Control Software, Micros POS system, Microsoft Excel and other cost control and inventory management systems.
  • Excellent analytical and numerical skills, with the ability to provide meaningful insights and recommendations for both Food and Beverage and other hotel costs.
  • Strong diligence, with the ability to manage inventory systems and cost reporting across the hotel.
  • Ability to collaborate effectively with various departments, including Purchasing, Finance, and Operations, to ensure seamless cost control processes.
  • Strong organizational skills and the ability to manage multiple tasks and priorities in a fast-paced hotel environment.
